Call planning field force optimisation,
specified days & call frequency

Use Frequency Scheduler to reduce planning time, mileage and driving time to ensure your workforce is efficient. This call planning field force optimisation software is ideal for planning sales calls, patient visits, product deliveries or engineer visits.

Frequency Scheduler ensures your customer is visited on regular specified days of the week, while the call frequency is varied according to individual customer or contract requirements.

How Frequency Scheduler field force optimisation works

Frequency Scheduler is based on a powerful genetic algorithm in combination with established routing and territory optimisation software to ensure meaningful results for your business. The flexible interface enables you to tailor the system to your particular scenario.

Step 1: Optimise territories before call planning

When call planning for your field force and arranging to make calls on specific days at specific frequencies, many organisations choose to run the optimisation area by area. You may already have a national group, regional groups or smaller teams. Alternatively you can optimise the split of the work force creating separate optimised territories, using GeoConcept redistricting or Optisite to balance the demand on each resource.

Step 2: Import field force geocoded data

Include territory ID, time needed at each appointment, and frequency of visit. If your data includes a name for the call point (e.g. store name), the chain it belongs to, the postcode and the contract name, these will all appear on the finished report.

Step 3: Set up call planning options to suit your field force

In this section you tell the system how you would like it to operate. For example you can specify where your data is located, when your day starts (i.e. the earliest appointment time), whether to use scaled straight line methodology or road speed calculations for journey times, which resources are unavailable on specific days...

Step 4: Run call planning model and see the costs reducing!

Inspect results As the model runs, you can see the distance covered by your workforce is dropping, saving you time and reducing costs (and for sales people providing increased opportunities to generate more revenue).

Step 5: Implement the field force schedules

Implement the schedules or consider adjustments to further increase optimisation (full training is provided to ensure you get the best from your system). Then simply make the most of the benefits offered by fast, optimal field force planning.

Key Features

Call planning for repeat visits of varying frequencies

Frequency Scheduler is specifically designed to schedule repeated calls of varying frequencies to clients based on call data in an Access database. Visit one customer twice a week and another three times a month.

Field force organised to visit each client on their preferred day of the week if required

Frequency Scheduler can ensure each client is visited on the same day of the week each time, regardless of frequency. Optionally you can choose for some calls to be made at a specific frequency (e.g. four times a year) but call on any day of the week. If same customer is to be visited several times a week, Frequency Scheduler with automatically spread the call across the week.

Exclusion days can be set before call planning is optimised

If deliveries are not possible on a Friday or if the sales person is always based in office every other Wednesday, Frequency Scheduler will ensure no appointments will be scheduled on these days

Split territories can easily be accommodated

For some organisations it is important to ensure the reporting reflects the management structure. Frequency Scheduler enables users to generate separate reports for each sales team or depot manager.

Frequency Scheduler automatically generates HTML reports

The reports are flexible and can be printed out, saved as HTML and put on the web or imported into Excel or Access. Whichever is most convenient for you.

Easy to visualise results: Map Window displays stops and routes

The Frequency Scheduler map window displays the stops coloured according to their territory, providing an intuitive interface to adjust territories if required. After running a solution, the map window can be used to display each route in turn. For example, click on week 8, day 3 and see where the driver needs to travel on that day.
